Elite Sound Entertainment ("we", "us") is committed to protecting your personal information. This policy explains what we collect when you use our website, plan your event with us, book a call or use your client portal, why we collect it, who it is shared with, and the choices you have.
What we collect
- What you give us: your name, email address, phone number, event date, event type, venue, guest count, budget range, the services you are interested in, how you heard about us, and any notes you write.
- Planning details once you book: music choices, timelines, seating charts, photos and files you upload to your client portal.
- Billing details: your invoices, the amounts due and paid, and the payment method type. Card and bank numbers are entered on Intuit's secure payment page and are never seen or stored by us.
- Call details: when you book a video call, its date and time and the answers you give when booking. Calls may be recorded, and a written summary may be made from the recording, so we have an accurate record of what you asked for.
- Website use: pages visited and how you arrived, collected through Google Analytics using cookies.
Why we use it
- To answer your inquiry and prepare a quote for your event.
- To schedule and hold calls and meetings with you.
- To plan and deliver the services in your agreement.
- To send invoices, take payments and keep accurate accounting records.
- To send you messages about your inquiry or event, including text messages if you have agreed to receive them.
- To understand how our website is used so we can improve it.
We do not sell your personal information.
Who we share it with
We share information only with the services that help us run our business, and only what each one needs:
- DJ Event Planner - our event management system, where your inquiry and event are kept.
- Intuit QuickBooks - our accounting system, which issues your invoices and processes online payments.
- Calendly and Zoom - to book and hold video calls.
- OpenAI - to write the summary of a recorded call. It is used to make the summary only.
- Google Analytics - website statistics.
- Our website host and our own mail server, which store the site and send our emails.
We may also share information when the law requires it, or to protect our rights or someone's safety.
Text messages
SMS consent is not shared with third parties or affiliates for marketing purposes.
You may opt out of SMS communications at any time by replying STOP.
How long we keep it
We keep inquiry and event records while we are working with you and afterwards for as long as we need them for our records, accounting and tax obligations. Call recordings are kept only as long as they are useful for planning your event.
Keeping it safe
Your client portal is protected by your own sign-in. Our systems use encrypted connections, access is limited to our staff who need it, and stored connection keys are encrypted. No system is perfectly secure, but we work to protect your information.
Your choices
- You can ask to see, correct or delete the personal information we hold about you.
- You can ask us to stop emailing you at any time, and stop texts by replying STOP.
- You can block or delete cookies in your browser settings.
Some records must be kept by law (for example invoices and payments) even after a deletion request.
Children
Our website is not intended for children under 13, and we do not knowingly collect their information.
Changes to this policy
We may update this policy. The date at the top shows when it last changed.
